We’re Hiring: Chief of Staff

Part-Time | 20 hours per week | 4 hours per day | CST (9 AM–1 PM or 1 PM–5 PM)


We are a customer success consulting company that helps businesses grow by placing top-tier Customer Success Managers (CSMs) and implementing systems and strategies to improve customer experience, retention, and lifetime value.

We’re looking for a Chief of Staff (COS) to join our team as a valuable first hire. This role is critical to shaping both our client experience and our internal operations.

The primary focus of the COS will be on Client Success, fully owning the client journey — from onboarding to feedback collection, coordination, and quality assurance — while also supporting and guiding the CSMs we place with our clients.

The secondary focus is building and improving operational systems to increase efficiency and prepare the company for growth. Within 180 days, this role is expected to grow into an Operations Manager position, with the opportunity to transition into a full-time role.

By filling this role, we aim to free the Founder’s time to focus fully on marketing and sales.

Responsibilities

Client Management

  • Provide hiring and onboarding updates via Slack, email, and Google Meet
  • Lead client and CSM onboarding meetings
  • Manage the 30-60-90 day onboarding program for all clients
  • Coordinate service agreements and documentation
  • Collect and track client feedback
  • Follow up on leads (bonus upside for closed deals)
  • Send reminders for upcoming and overdue invoices
  • Maintain CRM records and client data
  • Tools: Discord, Slack, Google Workspace, Jotform, Canva, ChatGPT, Genspark, Trello (moving to Basecamp)

Community & Team (via Discord)

  • Support and manage our global CSM team
  • Collect and review daily end-of-day reports
  • Drive engagement with initiatives like games, tips, surveys, and giveaways
  • Develop and maintain community culture and programming
  • Create and update a community FAQ and training videos
  • Host bi-weekly CSM check-ins

Operations Assistance

  • Build SOPs using Loom, Scribehow, Manus, Genspark, ChatGPT, and Loveable
  • Coordinate with our developer to keep websites updated
  • Maintain CRM hygiene and employee records
  • Partner with HR on people-related issues
  • Organize team birthday and holiday gifts
  • Collect structured feedback from clients and CSMs
  • Ensure timely and accurate affiliate payments

Qualifications

  • Minimum 2 years of professional experience in operations, project management, or executive support
  • Comfortable in client-facing roles and working with remote-first teams (consulting or SaaS experience preferred)
  • Excellent written and verbal communication skills
  • Strong command of Discord, Slack, Trello/Basecamp, and modern AI productivity tools
  • Highly organized, proactive, and capable of driving initiatives end-to-end
  • Note: Platform proficiency and critical thinking tests will be given to shortlisted candidates.

Growth Path

  • Immediate: Hands-on Client Success management and internal operations support
  • 180 Days: Expanded scope into a full-time Operations Manager role as the company scales

JOB OFFER: 

  • $528 monthly (Evaluation Period)
  • $550 monthly after 6 months (plus activation of benefits)
  • $572 monthly after 18 months
